I. How do we use the data of Website visitors or users of the Platform?

Handling of personal data

Personal data is information that can be used to determine a person, i.e. information that can be traced back to a person. These include e.g. name, email address or phone number, billing information but also data about hobbies, memberships or which web pages were viewed by someone are all personal data.Personal data will only be collected, used and passed on by us if this is permitted by law or you consent to the data collection.You provide us with your information, if required for the purposes described in this Privacy Policy. To provide Codio Impact products, we need to process information about you. The type of information we collect depends on how you use our products.


Visit of our Website

We (and the web space provider) collect data about every visit to our website www.codioimpact.com (so-called server log files) ("Access Data"). Access data includes:

the name of the retrieved web page, file, date and time of retrieval, amount of data transferred, message about successful retrieval, browser type and version, user's operating system, referrer URL (previously visited page), IP address and the requesting provider

as well as when using a mobile device additionally:

country code, language, device name, operating system name and version.

We use this access data only for statistical evaluations for the purpose of operation, safety and optimization of Codio Impact. However, we reserve the right to check this access data retrospectively if there is a justified suspicion of unlawful use on the basis of concrete indications. We or authorized third parties pursue the justified interests of quality assurance and/or fraud prevention.

When using the Platform

We collect data about every use of Codio Impact, including:

Username, User-ID, time spent in the platform and in the editor, which Features you used, and any changes to file names, your profile, your profile picture (should you add or change it) and billing or company information.

We use this data (i) for statistical evaluations for the purpose of operation, safety and optimization, (ii) to optimize the algorithm of Codio Impact and (iii) to fulfill our contractual obligation towards you. However, we reserve the right to check this access data retrospectively if there is a justified suspicion of unlawful use on the basis of concrete indications. We or authorized third parties pursue the justified interests of quality assurance and/or fraud prevention.

Data when creating a company account on Codio Impact

If you want to create a company account on the platform via www.codioimpact.com, you will be asked to create a company user account.

When creating a company user account, the following data will be collected and stored:

your name, e-mail address, your team’s name, credit card number, credit card expiration date, credit card security number, VAT number if applicable, company information (incorporation country, telephone number, street address and house number, ZIP code and city).

For the use of the offers of Codio Impact further data are collected and stored by us or by third parties involved.

We collect all data in accordance with your consent, which you can revoke at any time by e-mail to: info@codioimpact.com. In addition, we collect all data for the following reasons:

The data entered during your creation of an account will be used for the purpose of creating a user account, for verifying you as a new user and for billing your company. However, we reserve the right to check this access data retrospectively if there is a justified suspicion of unlawful use on the basis of concrete indications. We or authorized third parties pursue the justified interests of quality assurance and/or fraud prevention.

Data when adding new users to a company account

If you want to add new users to your company account on the platform as an administrator of a company, you will be asked to register these accounts. When adding new users, the following data will be collected and stored:

the e-mail address and name of the user. 

We collect all data in accordance with the consent of the added users, which we obtain through a double opt-in verification by email. You or the added user can revoke at any time by e-mail to info@codioimpact.com. In addition, we collect all data for the following reasons:The data entered during your creation of an account will be used for the purpose of creating a user account and for verifying you as a new user. However, we reserve the right to check this access data retrospectively if there is a justified suspicion of unlawful use on the basis of concrete indications. We or authorized third parties pursue the justified interests of quality assurance and/or fraud prevention.

When contacting us

When contacting us (for example by e-mail), your details (e-mail, name, company name and content of your e-mail) will be processed by us in order to answer your questions, feedback and remarks fastly as well as in the event that follow-up questions may arise.

Legal basis for processing your data

The processing of data while using our offer is usually based on the legal basis of Art. 6 (1) b. DSGVO, i. the data will be processed because it is necessary to fulfill the contract between you and us or to perform any pre-contractual action that is required upon your request.Furthermore, any processing of data by us may be based on your consent to the processing of the personal data for specific purposes, in which case the legal basis of Art. 6 (1) a. DSGVO applies.Furthermore, in special cases, we process your data on the basis of Art. 6 (1) c. DSGVO, if processing is required to fulfill a legal obligation that we or other responsible parties are subject to or on the basis of Art. 6 (1) e. GDPR, if the processing is necessary for the performance of a task that is in the public interest or in the exercise of official authority delegated to us or the controller.Moreover, the legal basis of Art. 6 (1) f. DSGVO applies if the processing is necessary for the protection of our legitimate interests or that of a third party and your interests or fundamental rights and freedoms of protecting your personal data is outweigh- for example in the case of our collection of data when visiting our website or the transmission to our partners and service providers. A legitimate interest exists, for example, if there is a relevant and appropriate relationship between you (or the data subject) and us (or the controller), such as when the data subject is our user or is a user of a service or is in its service. Furthermore, we refer to the respective explanations in the description of the processing operations in this Privacy Policy.

Your right of objection to the data collection:Generally speaking you have the right not to be subjected to a decision based solely on automated processing, which has a legal effect on you or, in a similar manner, significantly affects you. However, this shall not apply where the decision (i) is necessary for the conclusion or performance of a contract between you and us; (ii) is permitted by Union or Member State legislation to which we are a subject to and contains appropriate measures to safeguard the rights and freedoms and legitimate interests of the data subject; or (iii) with the express consent of the affected person. II. Which third-party tools and services are used by Codio Impact? Will data be shared with third parties?

We work together with external service providers who support us in carrying out the steps required to complete our offer either online or offline. More information can be found under III or IV. You can also contact us under info@codioimpact.com for more information.
In principle, we only transfer personal data to third parties, if

this is necessary to provide you our product;
we are legally obliged to do so; it is essential to protect interests of a person;
this is necessary to enforce our rights;
to help restructure, finance, buy or sell our business or parts of the business;
to assess and control risks and prevent fraud against us and our users, as well as fraud related to our website or offer and as far as this is legally permissible or you expressly give your consent or instruct us to do so.

III. Which third-party services and cookies do we use on the Website?

Integration of services and contents of third parties

It may happen that when using Codio Impact you are using third-party content, such as videos from YouTube or graphics from other websites. This always presupposes that the providers of this content ("Third Party Providers") perceive your IP address. This is because without your IP address they could not send the contents to your browser. The IP address is therefore required for the presentation of this content. We try to use only content whose respective third party providers use the IP address solely for the delivery of the content. However, we have no control over this if the third parties use your IP address, e.g. for statistical purposes. As far as we know this, you will be informed about it. Furthermore, we point out that with the involvement of these third-party providers an automated decision-making ("profiling") may take place.

CookiesCookies are small files that make it possible to store specific device-related information on your access devices (PCs, smartphones, etc.). They serve the user-friendliness of our web pages and thus your convenience (e.g. storage of login data). On the other hand, they serve to capture statistical data on the usage of our website and to be able to analyze it for the purpose of improving Codio Impact.

If you visit www.codioImpact.com as well as all other websites operated by Codio Impact, so-called session cookies are used, which are automatically deleted again from your hard disk as soon as you close the browser window. The session cookies are required to assign consecutive page views to all users accessing Codio Impact at the same time.

We also use cookies on Codio Impact, which allow us to recognize your browser the next time you visit it and offer you an improved use of the website. These cookies become inactive after 6 months, i. the cookies remain stored on your device until the expiry date of the cookies expires or you delete them before this time.

Google Analytics

Codio Impact uses Google Analytics, a web analytics service provided by Google Inc., Mountain View, CA, USA ("Google"). Google Analytics uses so-called "cookies", text files that are stored on your device that allow an analysis of your use of the app, web-app and website. The information that are generated by this cookie about your use of our offer such as: browser type / version; used operating system; Referrer URL (the previously visited page); Host name of the accessing computer (IP address); Time of server request when using the website are usually transmitted to a Google server in the US and stored there, however, due to the activation of the IP anonymization on Codio Impact, the IP address is previously shortened by Google within member states of the European Union or other parties to the Agreement on the European Union Economic area. The full IP address is therefore not transmitted to a Google server in the US and shortened there. IP anonymization is active on Codio Impact. On behalf of Codio Impact, Google will use this information to evaluate users' use of Codio Impact, to compile reports on website and/or app activity, and to provide us with other services related to the use of the website and internet usage. The IP address provided by Google Analytics within the framework of Google Analytics will not be merged with other data provided by Google.

Your right to object:

You can prevent the storage of cookies by setting your browser software accordingly; however, you are cautioned that in this case you may not be able to use all the functions of Codio Impact in full. Google Adwords and Conversion Tracking

We use Google's Adwords tool on our website for promotional purposes, which serves as an analysis service for website redirection and / or website visits ("Conversion Tracking"). If you have reached our website via an ad from Google, a cookie will be placed on your computer. Cookies are small text files that your Internet browser stores and saves on your computer. These conversion tracking cookies are valid for 30 days. If you visit certain sub-pages of our website while the cookie has not expired, we and Google may recognize that you as a user clicked on one of our ads on Google and were redirected to our website.

The information collected through the conversion tracking cookies is used by Google to compile statistics about visits to our website. We can use these statistics to tell the total number of visitors who have clicked on our ad, as well as to see which subpages of our website have been accessed. Your right to object: 

Google processes data on servers in the USA. To protect your data in the USA, we have entered into a data processing agreement with Google based on the European Commission's standard contractual clauses to enable the transfer of your personal data to Google.

You can notify us at any time of your objection to the processing of your data by Google by sending an email to info@codioimpact.com. We will make every effort to ensure that your data is deleted by Google, but we cannot guarantee this. We would like to point out that in this case we might have to delete your user account with all data (unless we are not subject to any contractual or legal obligation to keep records) and we might have to block your access to Codio Impact.

AWS

We use the servers of AWS Amazon Web Services, Inc.,410 Terry Avenue North,Seattle WA,98109, United States to save, host and store your personal data. The servers of AWS are situated in Frankfurt am Main, Germany. Your data is not being transferred to a non-european country for the purpose of saving, hosting or storing your personal data on a web server using AWS. 

Your right to object:

Without the servers of AWS, the use of the Codio Impact platform is unfortunately not possible. However, you can always email your opposition to AWS to info@codioimpact.com. We point out, however, that in this case we have to delete your user account with all data (if we are not subject to any contractual or statutory retention obligation) and we must block your access to Codio Impact.

Social plugins

Codio Impact is connected via social plugins with various social networks, namely Facebook, Twitter, LinkedIn and Medium.The services of Facebook, Twitter and LinkedIn can process your data in the US. In order to protect your data in the USA, we have concluded a data processing contract with the US companies of these services based on the standard contractual clauses of the European Commission to enable the transfer of your personal data to them.Without your intervention, the social plugins are deactivated and therefore no data is transmitted. Would you like to share some content, you must first click on the respective button on Codio Impact. If you are logged into your user profile in the corresponding social network, you will have to confirm your action afterwards to share any content on the respective social network. Of course you can deactivate this function at any time and manage it on Codio Impact.

Your right to object:

If you do not wish to share your data on Codio Impact on other social networks, you should log out before visiting Codio Impact. However, activating the corresponding button per click will still set cookie (s) with an identifier each time Codio Impact is called. Therefore, this feature may be used to collect data and create a profile that may be attributed to one individual. Therefore, automated decision-making ("Profiling") takes place in these cases (see also I above).

Facebook

Codio Impact uses the social plugin for the social network facebook at facebook.com from Facebook Inc., 1601 S. California Ave, Palo Alto, CA 94304, USA.

We point out that when Facebook is integrated, automated decision-making ("Profiling") takes place. If you do not want this, you can disable the corresponding link on Codio Impact by clicking. You can also set your browser so that the acceptance of cookies is generally excluded; however, we point out that in this case the functionality of Codio Impact may be limited. If you do not want this, you can disable the corresponding link on Codio Impact by clicking. You can also set your browser so that the acceptance of cookies is generally excluded; however, we point out that in this case the functionality of Codio Impact may be limited. Medium

Codio Impact uses the social plugin for the social network Medium VeraSafe Ireland Ltd., Unit 3D North Point House, North Point Business Park, New Mallow RoadCork T23AT2P Ireland.

Facebook Pixel

For the analysis and optimization of Codio Impact and due to our legitimate interests in it, we use the service 'Facebook Pixel' of Facebook Ireland Ltd, 4 Grand Canal Square, Dublin 2, Ireland or Facebook Inc, 1601 S. California Ave, Palo Alto, CA 94304, USA on the Website. In doing so, data of the users when visiting the website is used to display targeted advertisements for our services on facebook.com. In doing so, a direct connection to the Facebook servers is established and information is transmitted that you have visited Codio Impact and Facebook assigns this information to your personal Facebook user account. Thus, when Facebook is integrated, automated decision-making ("Profiling") takes place, see also I. above). LinkedIn Insight Tag

This website uses the Insight tag from LinkedIn. This service is provided by LinkedIn Ireland Unlimited Company, Wilton Plaza, Wilton Place, Dublin 2, Ireland.

We use the LinkedIn Insight tag to obtain information about visitors to our Website. Once a Website visitor is registered with LinkedIn, we can analyze the key occupational data (e.g., career level, company size, country, location, industry, job title) of our website visitors to help us better target our site to the relevant audience. We can also use LinkedIn Insight tags to measure whether visitors to our websites make a purchase or perform other actions (conversion measurement). Conversion measurement can also be carried out across devices (e.g. from PC to tablet). LinkedIn Insight Tag also features a retargeting function that allows us to display targeted advertising to visitors to our website outside of the website. According to LinkedIn, no identification of the advertising addressee takes place.

LinkedIn itself also collects log files (URL, referrer URL, IP address, device and browser characteristics and time of access). The IP addresses are shortened or (if they are used to reach LinkedIn members across devices) hashed (pseudonymized). The direct identifiers of LinkedIn members are deleted by LinkedIn after seven days. The remaining pseudonymized data will then be deleted within 180 days.

The data collected by LinkedIn cannot be assigned by us as a website operator to specific individuals. LinkedIn will store the personal data collected from website visitors on its servers in the USA and use it for its own promotional activities. Legal basis:

The use of LinkedIn Insight is based on Art. 6(1)(f) GDPR. The website operator has a legitimate interest in effective advertising measures, including social media. We use Hotjar as an offer from Hotjar Ltd, Level 2, St Julian's Business Center, 3, Elia Zammit Street, St Julian's STJ 1000, Malta, to better understand the needs of our users and optimize Codio Impact’s offerings. Using Hotjar technology we get a better understanding of our users' experiences (e.g. how much time users spend on which pages, which links they click on, what they like and what they do not like etc.) and that helps us to align the Codio Impact experience with the feedback we receive. Hotjar uses cookies and other technologies to collect information about your behavior and your devices (in particular, the IP address of the device (recorded and stored in anonymous form only), screen size, unique device identifiers, information about the browser used, location (only country), preferred language for displaying our website). Hotjar stores this information in pseudonymous user profiles. Mailchimp

With your consent we will send you our newsletter about the latest developments at Codio Impact to the email address you have provided.

Our email newsletters are sent via the technical service provider The Rocket Science Group, LLC. MailChimp, 675 Ponce de Leon Ave NE, Suite 5000, Atlanta, GA 30308, USA (http://www.mailchimp.com/), to whom we will pass on the data you provided when registering for the newsletter.

MailChimp uses this information to send the newsletter in our name and to evaluate statistically. For evaluation purposes, the emails sent contain so-called web beacons or tracking pixels, which are single image files stored on our website. This enables us to determine whether a newsletter message has been opened and which links have been clicked on. In addition, technical information is recorded (e.g. time of retrieval, IP address, browser type and operating system). The data is only collected pseudonymously and is not linked to your other personal data; a direct personal relationship is excluded. This data is used exclusively for statistical analysis purposes. The results of these analyses can be used to better adapt future newsletters to the interests of the recipients.

Transmission of data; Processing in non- EU countries

We only disclose information that we receive via the Facebook page to third parties in accordance with the terms of this Privacy Policy.While using Facebook, data can also be processed by Facebook Inc. in the US and thus outside the EU. Data processing and legal basis

With our Facebook page we can communicate with you and provide interesting information. In doing so, we may receive further data from you through your comments, shared pictures, (voice-) messages and reactions, which we then process for answering or communicating with you. Through the usage of data from our Facebook page, evaluations and statistics are created in the form of the page insights, which helps us to improve our marketing activities and our external appearance. We may continue to learn about users and their behaviors that interact with or use our Facebook page to view relevant content and to develop features that may be of interest to them. These site statistics show us, for example, which people of certain target groups interact most with our Facebook page, or what content was viewed, shared or liked on the Facebook page when and how often.
